P&L vs budget

The month and the year to date against budget, line by line, with variances in rupees and per cent and a commentary column for the reasons. Gross, EBITDA and pre-tax margins calculate themselves.

Cash position

Opening cash, receipts, payments by type and closing cash for each month of the financial year. Each month’s opening balance rolls forward from the last.

Receivables

Debtor ageing by customer — not yet due, 1–30, 31–60, 61–90 and over 90 days — with the share of each customer’s balance over 60 days highlighted when it passes a quarter.

KPIs

The handful of numbers worth reading first: revenue, margins, closing cash, debtor, inventory and creditor days, the cash conversion cycle and overdue receivables, each against a target.

How to use it

From download to a finished report

  1. 01 Download the workbook and open the Read me sheet. It opens with a worked example so you can see every formula working before you change anything.
  2. 02 Rename the line items on P&L vs budget to match your chart of accounts. Keep direct costs above gross profit and overheads below it; that split is what makes gross margin mean something.
  3. 03 Replace the shaded example figures with your month’s actuals and budget. Totals, margins and variances update themselves, signed so that positive is always favourable.
  4. 04 Fill in Cash position and Receivables from your bank and debtor ledger, then check the KPIs sheet against your targets.
  5. 05 Write the commentary. The numbers say what happened; the commentary says why, and what you are going to do about it. It is the part owners actually read.

Why this layout

Most MIS packs fail the same way: they are built once, sprawl across dozens of tabs, and stop being read by the third month. This one is deliberately short: how we did against plan, how much cash we have, who owes us money, and the few numbers that tell us whether any of it is getting better. It is the core of the fuller nine-section pack in our guide, and the right place to start.

The example month is worth a look before you delete it. Revenue is only 0.8% under budget, which looks fine, but gross margin is 1.8 points down because direct costs ran over while the weakest line fell short. That is the kind of thing a blended top line hides, and exactly what the variance columns and the commentary are there to surface. The MIS format guide explains the reasoning behind each section.

What is the format of an MIS report for a small business?

Our MIS format guide sets out a full nine-section monthly pack, starting with cash. This template covers the core of it in four sheets — profit and loss against budget, cash position, receivables ageing and key numbers against target — which is where most SMEs should start. Add the balance sheet, creditor ageing and margin by segment as the business grows. What makes any MIS useful is the commentary explaining each material variance.

Is this MIS template free?

Does it work in Google Sheets?

Yes. Upload the file to Google Drive and open it with Google Sheets; the formulas, formats and highlights carry over. It also works in LibreOffice Calc.

Why are variances shown as positive or negative?

Every variance in the template is signed so that positive is favourable and negative is unfavourable, for costs as well as revenue. More revenue than budget is positive; more cost than budget is negative. That way a column of red numbers always means the same thing.
