Reconciliation

How to use it
From download to a finished report
- 01 On the Reconciliation sheet, enter the account, the period end, the balance per your books and the balance per the bank statement.
- 02 On the Items sheet, list every difference. Pick its type from the drop-down and enter the amount as a positive number; the type decides whether it adds or subtracts.
- 03 Watch the unexplained difference. When it reaches zero it turns green. If it won’t, the gap is an item you haven’t found yet — look for transposed digits, duplicates and entries posted to the wrong bank.
- 04 Post what belongs in the books now: bank charges, direct receipts, auto-debits and corrections. Leave unpresented cheques and uncredited deposits on the list until they clear.
- 05 Check the Age column before you close the month. Anything over 30 days is flagged: a cheque unpresented for months is a question for the payee, not a timing difference.
Timing items and items to post
The template separates the two kinds of difference that people most often mix up. Timing items — cheques you have issued that haven’t been presented, deposits the bank hasn’t credited yet — are already correct in your books and simply clear on their own. Items to post — charges, direct receipts, auto-debits and errors — mean your books are wrong until you correct them.
That is why the sheet shows two adjusted balances at the bottom: your books after posting, and the bank after the timing items clear. In the example both come to ₹5,24,020. When they agree, the reconciliation is done. The bank reconciliation guide walks through the same example line by line.

What is a bank reconciliation statement?
A statement that starts from the bank balance in your books, lists every difference between your books and the bank statement with its reason, and arrives exactly at the balance the bank shows. It proves that both records agree, and it catches missing entries, errors and irregularities while they are still easy to trace.
Is this bank reconciliation template free?
Yes. There is no sign-up and no email gate. Download it and use it for as many accounts as you like — one copy per account per month works well.
Why enter every amount as a positive number?
Because the type of each item already decides its direction. An unpresented cheque adds to the book balance to reach the bank balance; an uncredited deposit subtracts. Entering signs by hand is where most spreadsheet reconciliations go wrong, so the template does it for you. The one exception is the ‘Other’ type, for corrections, which you enter with its sign.
How often should I reconcile the bank?
At least monthly, before the month is closed. Businesses with payment gateways or heavy daily volumes are better off reconciling weekly. A year-end reconciliation finds the same differences far too late to fix easily, and GST credit on charges found after the 30 November cut-off is lost.
