What a GST tax invoice has to contain

The particulars are prescribed, and a missing field is the sort of thing that surfaces in an assessment years later. A compliant tax invoice carries:

  • Supplier’s name, address and GSTIN
  • A consecutive serial number, unique for the financial year
  • Date of issue
  • Recipient’s name, address and GSTIN where they are registered
  • Place of supply, which decides CGST/SGST versus IGST
  • HSN code for goods or SAC for services
  • Description, quantity, unit and taxable value per line
  • Rate and amount of CGST, SGST, IGST and cess, shown separately
  • Whether tax is payable on reverse charge
  • Signature or digital signature of the supplier or an authorised person

The mistake that causes the most trouble

Charging the wrong tax head. It is decided by place of supply, not by where your office is. Supply within your own state means CGST plus SGST; supply to another state means IGST at the full rate. Get it wrong and your customer cannot claim the credit properly — you end up issuing a credit note, re-invoicing, and explaining it in a GSTR-1 amendment.

A close second is invoice numbering. The series must be consecutive and unique within a financial year. Gaps and duplicates are the first thing a reconciliation picks up, and they are painful to unwind once a return is filed.

After the invoice: the part that actually costs money

Raising the invoice is the easy half. What decides whether you keep the input credit is the monthly reconciliation — matching what your suppliers filed against your own purchase register, so nothing you have claimed is sitting unreported at the other end.

GST invoicing — common questions

What must a GST tax invoice contain?

A tax invoice needs your name, address and GSTIN; a consecutive invoice number and date; the recipient’s name, address and GSTIN where registered; the place of supply; HSN or SAC codes; description, quantity and taxable value per line; the rate and amount of CGST, SGST, IGST or cess; whether tax is payable on reverse charge; and a signature or digital signature.

When do I charge CGST and SGST instead of IGST?

It follows the place of supply, not where you are. If the place of supply is in your own state, the tax splits into CGST and SGST. If it is in a different state, you charge IGST at the full rate. This generator switches automatically when you set the supplier and recipient states.

Do I need to put HSN codes on every invoice?

The number of HSN digits required depends on your aggregate turnover, and the thresholds have changed over time. Smaller businesses report fewer digits than larger ones. Enter whatever applies to you — the field is free text so it fits any requirement.

Is this invoice generator free?

Does this handle e-invoicing or IRN generation?

No. E-invoicing requires registering the invoice on the government IRP portal to obtain an IRN and signed QR code, which cannot be done from a static page. This tool produces a correctly formatted tax invoice for businesses below the e-invoicing threshold, or as a working draft.
